Quick answer
What this guide helps with
- Build a realistic arrival and transfer plan.
- Share enough detail for guests to book accommodation and manage timing.
- Make the final route and wedding-day contact easy to find.
A useful travel guide answers the questions guests would otherwise message the family about. It does not need to book travel for them. Keep provider schedules and prices out of the guide unless you are prepared to update them; link to official operators for current information.

A six-step guest travel plan
- Confirm the destination and venue area. Use the property’s full name, address and map pin. If events happen at different venues, list each separately.
- Identify arrival options. Ask the venue which airports or stations are practical for the specific property. Link to the relevant operator or official schedule rather than copying information that can change.
- Decide what transfers you are providing. State whether rides are included, optional or self-arranged. For arranged vehicles, publish the meeting point, pickup windows and coordinator.
- Choose a realistic arrival window. Tell guests when they should reach the hotel before the first function. If missing a function would be costly, consider recommending arrival the previous day.
- Make accommodation notes useful. Share the venue’s room block or a few nearby areas, booking deadlines and any information guests should confirm themselves.
- Plan for changes and questions. Name a person who can help with a delayed arrival, accessibility request or changed pickup. Keep a separate emergency contact from routine RSVP details.
Do not guess at travel details
Drive times vary with venue location, traffic, weather and event timing. Confirm them with the provider and use a realistic range if it helps; avoid promising an exact arrival time. Likewise, do not call a venue “near the airport” without checking how guests will actually reach it.
- Venue address and map link for every function.
- Recommended airport or railway station, confirmed with the venue.
- Transfer method, pickup point and contact person.
- Hotel and check-in notes, including arrival before the first event.
- Accessibility, luggage, children or late-arrival information guests need.
- Return travel guidance after the final function.
Where to publish the details
Put the travel notes beside the event schedule so guests do not have to compare different message threads. Use short labels, local times, tappable map links and a clear “last updated” note when the plan changes. Link it in invitation messages and send updates through the channel your guests already use.
For the destination shortlist, read 10 places to consider. The guest communication guide covers how to send updates without creating several conflicting versions.
Should the couple pay for guest travel?
That depends on the family’s plan and the invitation. State clearly which transfers or stays are arranged and which guests should book themselves.
When should we send destination travel information?
Share confirmed city and venue details as early as you can. Add schedules, pickup and accommodation instructions as they are confirmed, and send a reminder closer to the event.
What if flight or train schedules change?
Link to the provider’s current schedule and keep the wedding-side pickup plan on the guest page. Assign a coordinator to update affected guests directly.
